A visitor pass looks a little different in each place.

• Offices: the word Visitor, the company logo and a number.
• Schools: the word Visitor and a room or a person to meet.

Design to the need, and keep it simple.

Designing a clear visitor pass

Put the word Visitor in large letters, add your organisation name and logo, and leave room for a pass number. Strong contrast makes the card easy to read from a few steps away. A pass is only useful if guards and staff can see it from a distance, so use a bold colour and ask visitors to wear it on the chest, not in a pocket. Many sites use one colour per day or per area. A bold colour band at the top of the card makes the difference easy to spot from a distance.

Numbered passes

If you want numbered passes, put a different number in each file and upload one file for each card. Put each number in a larger size than the rest of the text, so it can be read at the desk.

A pass desk routine that works

A pass is only useful if it is issued and collected the same way every time.

• Keep passes in numbered order in a tray.
• Issue a pass at the front desk and note the number next to the visitor's name.
• Ask the visitor to wear it where it can be seen.
• Collect it at the exit and check the number.
• Wipe it clean with a cloth and keep it ready for the next visitor.

Keep a register or a sheet to note the number and the visitor's name, and a pen that writes on plastic for any date or room. Show new staff how to issue and collect a pass once, and they will do it right every time. A one-page instruction beside the tray is enough.

If something goes missing

If a pass is not returned, note the number and tell the security team. Keep a few spare passes, so the next visitor is not kept waiting.

What to print on the back

A short instruction such as "Return at the exit", a reception phone number, a map or an emergency number are all good uses of the back. Upload a second file for the back.

How many to order

Order more than you expect to need on your busiest day. Some passes may be in use or missing, and a spare saves a delay.

Walk to your front desk and look at it as a visitor would. Is the word Visitor easy to see? Is there a place to write a name or a time? Would a colour per day help the guards? Answer those questions first, and the design follows. Print a few passes, try them for a week and then order the full set.

What the card does not do
