What to put on the card

Keep it simple. Your name and logo, the member's name, a member number and a contact number are enough. If you run more than one plan, use a colour band or a plan name so staff can see the plan at a glance. The back is a good place for rules, timings or an address. People keep a card that tells them what they get, so a short line such as "Member discount on all classes" explains the card and reminds staff to apply the offer.

Planning your membership cards

Before you order, decide how your members will be identified.

• A number: simple, and easy to look up in a list.
• A name and a number: the best fit when staff need to greet people.
• A photo: useful for places that check who is entering.

Member numbers

Pick a pattern that you can keep using, such as a short code for the year followed by a running number. It is easier to find one member in a long list when every number follows the same rule.

Colours for plans

If you have more than one plan, give each its own colour on the card. A basic plan can be one colour and a premium plan another, so staff see the plan before they read the text.

Get the file right

Send one clear file per card design. A PDF export keeps text crisp, and a high-resolution image works too. Keep names, numbers and any barcode or QR code away from the very edge. If every member needs their own name or number, upload one file per member and set the quantity to match. If your card carries a QR code or barcode, scan it from your screen before ordering. It will only work with the system you already use to read it.

When a member renews

Ask whether the card needs a new date. If it carries a validity date, you will need a new card on renewal. If it carries only a number, the same card can be used for years.

Each member file is checked for orientation and cut-off edges, then the cards are printed in a day, packed flat and sent to your address. They arrive 5 to 8 days later. If a file looks incomplete, we may contact you before printing.

Welcoming new members

A card is a small part of the welcome. Hand it over with a short note about how to use it, what it gives the member and who to call with a question. Read every member's name once more against your list before you print. A mistake in a name is hard to fix once the card is made, and members notice.
