Preserve the details from the authorised document without inventing electronic features.

Compare against the approved source

Check the holder’s name, photograph and printed membership identifier directly in the authorised file. If the current card contains a QR or barcode, keep the whole pattern and its surrounding space. Do not replace an unreadable code with a similar design or generate a new number to fill a gap.

Check the reverse and small conditions

Information on the back may be important to the holder even when it looks less prominent. Send both sides from the same document version. If the source is a full-page record, assess whether reducing it to wallet size leaves the small lettering readable. A sharp file cannot solve a layout that contains too much text for the space.

Understand the limits of reproduction

A printed code is artwork from your source. It does not by itself add a chip, magnetic encoding or active access permission. Whether a canteen accepts the copy is an authorisation question for that organisation. Keep the issued document or other proof it requires rather than relying on a printer’s claim of universal acceptance.
